Office Refurbishment Ideas for Productive Employees

Introduction

A vast number of people work in offices of one kind or another. They may be offices in buildings purpose built or attached to a factory or in business premises. For many self employed business people the office is a room in their home converted for that purpose. Solicitors, doctors, estate agents and insurance agents, in fact any business that you can think of, works from some kind of office or another. You might even say 80% of the adult population work in an office. But I wonder how many of those people have any say in what kind of office they have and whether or not it suits their requirements. Mostly when someone new joins a company or firm, they are given a space for their office usually left by the previous incumbent. I suspect that if you asked occupants how they would like their office to be they would find it difficult to tell you.

When you think of the number of hours we spend in an office, at least eight hours per day and sometimes up to sixteen hours if it’s a busy period. Yes people are allowed out for breaks and rest times, but it is an awful lot of your life cooped up in small space. If at least a third of one’s working life is to be spent in an office, then it makes sound sense to ensure the environment is as comfortable, pleasant and as healthy as possible.

So how much thought goes into the planning of workspaces?

Where a building is purpose built such as an office, then the architects I am sure will have created good designs to suit the purpose. However, it has been known for new buildings to be problematic for the people working it them. For instance, synthetic materials used for carpeting can sometimes give off toxic fumes which cause allergies or illness of the staff. Air conditioning that relies on recycled air has the potential to carry bugs that can lay the whole office off at the same time. So there are many factors to consider in creating an office environment to ensure the staff are productive, creative, energised and remain healthy.

Old buildings, originally built for other uses, when converted to office space will have different problems to resolve. Often old buildings have very high ceilings where the heat rises up so that the inhabitants below are cold yet the heating bills are going through the roof, literally!! How to maximise the space available to provide a comfortable working environment will be a real challenge and this is where often the use of a mezzanine floor and suspended ceilings are valuable.

It is a well known fact for any business that happy workers give better performance and generate more revenue than unhappy workers. The workforce are more motivated, creative, helpful and have less time off work for illness if they are happy in their jobs. I am sure there are statistics available for these details, but you don’t need to review these statistics because it is common sense that tells us we have to provide a comfortable working environment. If you are the business owner, ask yourself if you would be comfortable working in the environment that you are expecting your employees to work in? If your answer is no then get an interior fit out specialist involved until you can say yes to that question.

Ergonomics

Ergonomics is the study of workplaces and the equipment used, to achieve the best design for comfort, safety, efficiency, and productivity. Research has been carried out over the last few years at Nottingham University on office space allocation challenges.

Workspace planning is fast becoming a specialist industry because of all of the current regulations and legislation. Formerly known, in the UK as the Factories Act and now known as the Health and Safety Executive regulations are in place to ensure that employees have sufficient working space in which to perform their work. This can be a potential minefield including such things as physical space, usable space, corridor spaces, and minimum light and ventilation regulations. If you are about to commence on an office refurbishment project ensure that your interior fit out specialists of conversant with all of these regulations before you engage them to perform your work.

What are the Criteria for a good office environment? We are sentient beings, which mean we resonate with feeling and perception as well as intellectually to our surrounding.

Seeing

The first thing to consider when commencing an office refurbishment project is how does it look? The initial impact on us comes from what we see. The decor and arrangement of furniture, the window aspect and lighting are important in our perception of whether or not it is pleasing to the eye. Does the office have all the necessary equipment, computer, phone and sufficient storage for files and books etc? Plants provide a sense of balance in the space as long as they are discreetly positioned and don’t make it look cluttered. Plants are oxygen generators and help to refresh the air.

Smell

On entering a new place the first thing we take in is the scent whether we pay attention to it or not. We notice immediately if the air is stuffy or if there is an unpleasant smell such as sweaty bodies. However a pleasant fragrance or no smell at all will be inviting. Baker shops nearly always pump out the fresh smell of baked bread into the street to entice people in to buy the goods. So although we may not be aware that smell plays an important part in our responses, we are still animals and we do use our olfactory senses a great deal more that we realise.

Feel touch

How does the furniture feel? Plastic seats can be very uncomfortable to sit on for a long time. Plastic does not breathe, it draws moisture from the skin so that when you stand up your posterior will be damp and uncomfortable. Padded fabric is warmer than leather for comfort and not as expensive. The desk chair needs to be the correct height for desk and give suitable support, a computer needs to be set correctly to avoid neck and wrist strain of the operator.

The temperature in the surroundings is best if it’s not too warm and not too cold. Also when organising on office refurbishment job remember that people work best at a temperature of around 20 degrees centigrade, so temperature planning is also important.

Too warm and we become sluggish and sleepy, too cold and we become distracted and use up valuable energy keeping warm. Fresh air is also beneficial to stimulate the brain cells.

Sound Hear

What can we hear? Is it noisy or quiet? When I was first starting out in business, I went to visit a local manufacturing company to learn about the way they managed their business. At lunch time I was taken into the executive dining area where there was a waitress service and we had a very civilised lunch. Later I was taken to the works canteen. When we walked in I was hit with a blast of noise such as I had never experienced before. The hall was large with a very high ceiling and nothing to damp down the echo. The result was that everyone ended up shouting to be heard and there was loud music playing as well. I was shocked, not just at the noise level but by the contrast between the executive dining room and the workers canteen. I had come from an business which treated all members of the company the same so there were no executive areas and everyone, high and low mingled together for meals and break times. Guess which company had the better worker relationships and higher output?

Where a company utilises an open plan office then noise levels can be very distracting and one solution is to incorporate ‘White Noise’ which is a low level background noise to interfere with the general office talk going on over the phone or mini meetings. Sometimes quiet relaxing music is introduced as background noise but this is not common in a business place.

Taste

Well we are not going to go around licking the furniture, but another important consideration is to ensure that a there is an area to enjoy a nice coffee or tea away from the desk throughout the day. So is there a pleasant area for making drinks and preparing snacks, or even lunch facilities alongside the office. I once worked in an office where they had a small kitchen area off the main office for making drinks and snacks and there was always a bowl of fresh fruit for workforce, as the company recognising the refreshing effects of fresh fruit.

Workspace planning

So as you can see there are many things that can make the work environment a agreeable place to be. However getting the original layout and size of spaces for the employees is a complex process.

How much space does each individual need to work in? According to the Officewise publication from the Health and Safety Executive in the UK employers must provide a minimum of 11 cubic metres for each person permanently occupying a workplace. However there are all sorts of exceptions and caveats to this rule, such as making sure the space is usable space, and clearly if that space were under the stairs with no windows, or ventilation then it would not be suitable. So it is very important to ensure that your new office fit out adheres to all of the current legislation with regards to workspace laws.

The use of suspended ceilings by the industrial fit out specialists is common place which makes the installation of services easier and more cost effective. Electrical supply, air conditioning units, water pipes and telephone cables can all run behind the suspended ceiling making access easy if anything goes wrong and repairs need to be implemented.

Positioning of the electrical and telephone outlet is also crucial. The computers used in offices today all require their own electrical supply even if they are networked with the system.

External light from windows is a requirement for offices. The days of the cupboard office cubbyhole are gone. Light airy spaces make people feel good and doses of sunshine each day lift our spirits. However too much sunshine will overheat an office so the use of vertical blinds is recommended to deflect the rays of the sun without reducing too much the level of illumination.

Costs

To conserve office space costs some industrial fit our specialists have come up with the idea that instead of having a board rooms for meetings they have their meeting standing up around a special tall coffee table. This reduces the amount of time spent in meetings and the space is reusable for the lunches. Other schemes encourage employees to work from home for part of a week and utilise a system of desk sharing or moveable desks.

Reconfigurable spaces

Another way of economising on the cost of office space is by careful rearrangement of the existing floor area. There may be dead areas which could be released and turned into useable space. The installation of new interior partition walls can rearrange the existing space to create a friendlier working environment. Sometimes working in an open plan office is beneficial for communication between staff, other times it is a distraction and prevents efficiency. So having the option of both open space and separate offices provides the full range of options which can be easily introduced with new partition walls.

For example one of my clients, took over a set of offices and had various walls moved, so instead of it having two small offices, one without a window, they created one large office for the MD and a really good sized store room which they needed for long term storage of customer files. They then took out another wall and made a good size open plan office space and rearranged another wall to create a board come conference room. Also access to the little kitchen was changed to be more convenient. The choice of subtle colours on the walls and new vertical blinds caused the whole suite of rooms to be transformed into a pleasant and airy working area. Where there is plenty of ceiling height the introduction of a Mezzanine floor generates valuable areas perhaps for storage, private meeting rooms or extra offices.

Other considerations in workspace planning, is the situation of facilities such as kitchen, toilets, relaxation areas and outside space if available. Sometimes the introduction of a simple partition can create a relaxation/dining area without losing too much of the work area.

All Health and Safety regulations are paramount they have to be adhered to in the workplace and must be incorporated into any plan along with full fire regulations.

Conclusion

Many firms may feel that upgrading the facilities is a ‘nice to have’ idea and the reality is that it usually comes at the bottom of the list on money allocation. However this is erroneous thinking; office refurbishment is never a waste of time or money. Creating a pleasant office environment by upgrading worn out or old fashioned surroundings and furnishings will make a big difference to the working life of the employees. Improved working conditions may be only part of the picture in achieving real job satisfaction, but it is a good start in the right direction. It also says a lot about what the senior people in the organisation think about their employees. If they ensure that their staff are given the necessary equipment and facilities to do their job effectively then the employees will give better service and can be more efficient and there will be a better working environment all around.

The Effort of Marketing Money

It’s important to do effective market research marketing before embarking on any sort of business venture. Due diligence is what separates effective and successful business plans from those that fail miserably. Why would you want to make huge capital investments before you understand the potential for return. Let me put it this way, it’s always good to know the hand you will be dealing to yourself before you sit down to the poker table and go “all-in” so to speak.

One thing you can do when embarking on this task is to research basic marketing terms among other things to give yourself a fair chance at becoming profitable.

In addition, make sure to address other issues related to market research marketing. At a certain point you will have gathered all the data necessary to make an informed decision regarding your business model and you will then be able to incorporate that information into various areas of your marketing plan as well as your overall operational strategy. In addition, you will have the added benefit of knowing your primary advantages and disadvantages and you can use your knowledge to improve all aspects of the proposed business so you can start with a major competitive levarge over those you will be in competition with.

If you’re always one step ahead of the competition you will inevitably come out on top and your business will essentially thrive because of it, in fact you might even make money blogging in the process. I’ve seen people jump into things only to lose their shirt in the process and I’d hate to see that happen to you. After you develop a winning formula you will be able to apply it to every venture that you undertake and essentially corner the market in ever single direction. Slowly your competition will be crushed and your company will gain much needed momentum and funding.

This economic environment is one of the most challenging things facing ventures nowadays so that makes it increasingly difficult to be competitive and offer things that people need without fail. One final thing to keep in mind, try to target niches that aren’t too competitive and then you will see how easy it is to break in and make money while the rest of the people fight it out, you will be sitting back laughing at how easy it is!

Twitter Worm

Blink182Tweets.com is a safe way to keep up to date with band Twitter updates without leaving yourself open to malicious attacks that are currently going around Twitter.com

A “worm” spreading spam messages promoting another website was first introduced into Twitter in the early hours of Saturday.

Within hours it had spread across the network, infecting scores of accounts and forcing administrators to delete 10,000 messages to stop it infiltrating further.

Users spread the virus simply by clicking onto an infected page.

They then began unwittingly sending out messages – or “tweets” – to other users promoting the site StalkDaily.com.

Despite efforts to curb the virus, Twitter was hit by a second, more intense, bout of attacks later in the day and another early on Sunday.

Twitter then announced early on Monday that it was facing a new “manifestation” of the worm. Messages advised users not to click on links until the problem was rectified.

The website emphasised that no sensitive information such as passwords or telephone numbers had been compromised and suggested it would take legal action against the perpetrators.

A worm is a computer programme which spreads through a network by making copies of itself when users inadvertently click on something.

According to the Twitter news service BNO, a teenager from New York claimed responsibility for the worm “Mikeyy” saying that he had been bored.

He said that he had been trying to highlight ways in which the phenomenally popular site could be vulnerable to hackers.

“I did this out of boredom to be honest,” he was quoted as saying.

“I usually like to find vulnerabilities within websites and try not to cause too much damage.”

Twitter – a so-called “micro-blogging” service – has seen phenomenal growth in the last year rivalling Facebook and MySpace as one of the most popular social networking sites among British users.

It played a key role in the US election with candidates including Barack Obama posting messages on the site and British celebrities such as Stephen Fry have also become high profile users.

Users post short tweets either directly onto the site or by mobile phone.

These are then forwarded on to their network of friends and contacts.

Solar And Wind Power - Sustainable Energy For The Future

A cause for concern for many households is continuing price hikes for utilities, for example electricity. In today’s world electricity is absolutely essential. It powers our homes, schools and offices; today there is no way we could ever live without it. The problem is that this essential part of our lives is getting really expensive due to the increasing demand and the continuous increase of oil prices. This means that it is more important than ever to think about how we can cut those electricity costs. To achieve this, we need to look into alternative energy sources, like installing residential solar power devices or wind energy.

Residential power sources could supplement our dependence of energy from the grid. They use solar or wind energy which is free, is reusable and carbon emission free. These three major factors are the reasons why many people are opting to fit wind or energy power units in their homes. Research tells us, if in the US twenty-five percent of homes are powered by small scale residential power units, possible thousands of regular power plants could be rendered surplus. This could mean great reductions in carbon emissions which in turn means less green house gases and a more healthy environment.

Apart from solar units here is the option of windmills for electricity that just like solar power will cut your energy bills, and be beneficial for our environment and health. Wind power devices take advantage of this great sustainable energy source, the wind, which when processed produces no carbon emission that could damage the ozone layer. It is a one time investment that could last a lifetime. Wind devices work using the wind to turn the turbine that creates mechanical energy. The mechanical energy created is transmitted to wind power generators that convert the energy to electrical power for home use. This energy is then stored in a battery to be used when there is no wind.

Two major benefits come from installing residential wind or solar power. Firstly, there is money to be saved by generating your own power and decreasing your dependence of the grid, and two - maybe even more importantly - you can help save the environment. Fitting residential wind or solar units is an investment for the future that will cut your costs for a long time; money, which you can spend on more important things like your family’s needs. There may be another money saving opportunity as well, by availing of the tax cuts your government may offer to people who use reusable energy. It is sometimes possible to also sell electricity if you create more energy that you actually use. You can also save the environment by using wind or solar power because you lessen the demand of electricity produced by electric power plants that produce energy while emitting carbon.

So, not only will you save money, you can also save the environment from the ill effects of carbon emissions.

5 Reasons fire is such a danger at work

Do you currently own a business that is going well? Good enough that you think nothing could go wrong? Well, think again. The next question you should face is related to the safety and preventive measures or guidelines that you are implementing in your workplace. Have you secured a fire safety manual for your business? Do you conduct fire risk assessment training for your employees? Have you thought about getting the service of a professional and credible fire consultant?

Being the employer, you must accept the fact that you are the person who is held most responsible for the safety and comfort of all that is included in your business. It is highly essential that you start with educating your workers on the causes and consequences of the incidence of fire. You can begin by releasing memorandums and composing manuals to heighten their awareness and henceforth serve as their guide towards prevention. Part of this, is to challenge there normal ways of thinking to fix in there minds why fire is such a danger in the workplace.

First and foremost is to let them know how much trauma fire can cause them, and even take their lives. Each year, more and more deaths are occurring due to fire incidences. And most of these were just simply caused by leaving the stove open or having an electrical fault. Emphasize that once fire happens, it’s not easy to put it out and that fire safety standards should be learned to make them able to apply appropriately and with effect. Second, is that it could cost the business a huge amount of money on repair, maintenance, etc. Such might consequently affect other financial matters including their salaries. Third, is that fire can greatly ruin the physical aesthetics of the building and the other functionalities that come along with it. This would greatly affect the daily routine and even cause delay in the productivity and performance level of each. Fourth, it could take away not just your business in a jiffy, but also endanger their jobs and there lives. And lastly, the incidence of fire can lower the credibility of the business.

To apply fire risk assessment training can be as easy as ABC. You can decide to do it on an in-house basis or get a well trained fire assessor to walk you through the whole process. Considering the option of getting the help of a fire assessor can be more convenient though since the person would be the one doing all the fire assessment for you. However, this might also cost you a considerable amount of money if you have to keep getting the assessor back in. If you want a more cost effective solution, then you can conduct your own fire safety assessment with the help of a fire expert and coordinate with your staff. Attend to this need together and work as one united team. Come up with your own prevention plan that would deal for all types of emergencies. Another thing you can do is keep and make a formal manual which all employees can refer to or use dedicated fire risk assessment software in conjunction with a fire assesor. This means you can invite over a fire professional or expert to check on the manual you came up with and examine all the equipment in your workplace.

As an employer, make it your priority to not just preserve your business and the physical workplace but also to save and preserve lives of your workers.

5 Causes Of Thinning Hair

There can be a multitude of causes of thinning hair but not all necessarily mean you are going bald, and we are going to go through some of these in detail today, but before we do that lets have a quick look at hair growth and also a little test you can do to check if you are losing your hair.

At any one time approximately ninety percent of your hair is growing and the other ten is resting. It is when your hair is resting that it is likely to fall out so if all of a sudden you see a lot of hair in the plughole or on your comb then this may be the reason why.

There is a test you can do to give a further indication if you are going bald or not and that is to do a tug test. This is a lot less painful than it sounds, all it consists of is grabbing a few hairs between thumb and forefinger (you want at least 20 or so) and then pulling these strands slowly but firmly. If you lose more than half a dozen on this test then you may be going bald.

Now that we have covered that, let us look at 5 possible reasons behind hair loss :-

1 Chemicals-Everyday we are subject to loads of different chemicals attacking our skin and its no different when it comes to our hair. People do lots of things to make their hair more attractive using colors and bleach etc… However you may be thinking I have never done that and yet I am still losing hair, well if thats the case let me point you in the direction of your shampoo. The reason for that is a lot of shampoos contain a chemical called Sodium Laureth Sulfate, and this cleans and degreases your hair, but it can thin your hair out too-so check your shampoo you may want to use a milder version

2 Hereditary – the jury is out on whether baldness really is hereditary or not, however if there is a history of baldness in the family then there is a probability it will occur again.

3 Illness- Being ill can have many side effects on the body in general. However there are certain ailments which seem to be directly linked with hair loss and included amongst them are problems with the Thyroid gland, diabetes, lupus and scalp fungal infections. Again there are probably more that you can add to the list but if you have started losing hair and you are ailing from something then there may be a link.

4 Poor Circulation– Hair like anything in the body needs to nourished to thrive, and poor circulation can have a negative effect on your hair because it means not enough oxygen and red blood cells are getting to the scalp to the follicles

5 Immune System- There are certain types of alopecia which can occur through disorders in the immune system and they can have various effects on a persons hair from partial hair loss to total baldness tight the way through to losing all of the body hair.

These are just a few of the things that can be behind what causes baldness, however the list is not exhaustive and if you are concerned about hair loss then you may want to seek expert advice or do further research into ways how to prevent hair loss.

Austailian Candle and Oil Lighting

A typical domestic scene of a squatter’s timber shack has been captured by many colonial artists such as S. Prout, S. T. Gill and other notables. The paintings generally show a group of people, usually men, sitting in front of a large walk-in fireplace which is lit by a crackling log fire. Occasionally a candle stuck into an empty bottle is seen on the table in the plainly furnished room or the most basic lard impregnated cloth lights might be seen on the mantle in the flickering light of the fireplace. Most of the early working men’s huts, were equipped in this fashion; a more decorative interior with lined walls, blinds and oil cloth or matting floor usually indicated the presence of a woman in the home.

When settlers arrived with their wives, wealth and possessions, interiors showed a marked improvement in elegance and comfort. As soon as they were able, the settlers built larger houses replacing the tents and bark humpies or upgraded and improved upon existing houses. By 1822 Sydney had 59 stone, 221 brick and 773 wooden houses and by 1841 the census showed that there were 769 homes in Melbourne, the capital of Victoria.

Interiors were made practical and comfortable, following the dictates of English fashion and, except for the very rich, lighting was not a priority. As late as the 1830s, Louise Anne Meredith gave a bleak description in her letters of home lighting in the colony ‘where candles are not attainable, a light is procured by a bit of rag rolled up stuck into an old cup or pannikin full of dripping and lighted. Homemade mould (tallow) candles are generally used in houses where wax-lights are dispensed with, and certainly vary more in quality than any other article of domestic manufacture.’

Later sketches of the interiors of well-off settlers’ residences attest to this bleak picture of domestic lighting. There was small consolation in the fact that the general quality of light fittings and equipment had significantly improved in standard.

Finely crafted candlesticks and custom made blinds were now proudly displayed in parlours, replacing the bottles and tin pans that were used in the kitchens cum dining rooms in previous decades. S. T. Gill’s interior watercolour of the Noufflard’s house in Bligh Street, Sydney in 1856 depicts a scene common to many early Victorian homes.

The drawing room or parlour is lit by a pair of tall elegant candlesticks placed on a central table around which the family and friends would gather at night to read, write, play instruments or socialise. Often a vase of flowers would be placed in the centre of the table in an arrangement to complement the candlesticks. Sometimes an additional pair of candles would illuminate a piano on which a member of the family would play.

In wealthier homes the number of candlesticks might be increased to include a pair of candlelabra on the overmantel of the fireplace; alternatively an additional pair of two- or three-branched candle wall sconces might be positioned on either side of the sideboard, chiffonier or mirror hung over the fireplace in either the dining or drawing rooms. The rest of the house would be in darkness except, perhaps, for the entry hall where an enclosed hanging lantern would burn one or more candles to illuminate the way for visitors. A candlestick would have been taken to light the way to the bedroom, but these were not kept in bedrooms; they were brought to the kitchen each morning to be trimmed and maintained.
